A front-desk tool built for a Southeast Asia hostel running on a paper guest book, WhatsApp confirmations and a spreadsheet for payments. One screen replaced all three — and ended the double-booking problem permanently.
The hostel was managing bookings across two channels — walk-ins recorded in a physical guest book, online bookings confirmed via WhatsApp — with payments tracked separately in a spreadsheet that only one person could update at a time. Checking room availability meant flipping through pages. Knowing if a guest had paid meant finding the right WhatsApp thread.
The dashboard was built to make room status visible in real time to everyone on shift, from any phone. Reservations are logged with one form, check-in and check-out update the room grid instantly, and payments are recorded with a balance-due field so the next staff member immediately knows the situation without asking.
Built around the exact room types, bed configuration and workflows of this specific hostel — not a generic property management template.
Visual map of all rooms and dorm beds, colour-coded by status: available, occupied, reserved, cleaning, maintenance. Updated live — any staff member can see the full picture from their phone.
Replaces the paper availability chart
Guest details logged at arrival — name, nationality, passport number, arrival and departure dates, room assigned. Check-out marks the room for cleaning automatically. Full guest history searchable by name or date.
Replaces the physical guest book
Total due, amount paid, balance outstanding and payment method (cash, bank transfer, card) logged per booking. A clear "balance due" badge on the room card means no guest leaves without the team noticing.
Replaces the payment spreadsheet
Daily, weekly and monthly occupancy rates per room type. Revenue by period, average length of stay, peak and low seasons. The owner sees trends without building a single formula.
Auto-generated, no Excel needed
Each staff member logs in with their own account. Actions are timestamped and attributed — check-ins, payments, notes. No shared password, no "who updated this?" confusion during a handover.
Role-based access: reception vs manager view
A chronological list of today's expected arrivals and confirmed departures — name, room, time, payment status. The morning briefing in one glance, no WhatsApp thread digging required.
Replaces the morning WhatsApp summary
Hospitality businesses live and die on handovers. When the morning shift doesn't know what the night shift agreed with a guest, mistakes happen — double charges, missed balances, wrong rooms. One shared live dashboard eliminates the information gap between staff members without requiring training on a complex system.
The stack is the same as all our tools: PHP, a database, a responsive single-page dashboard. What changes is the data model and the workflow — this one was built around the room types, bed configurations and pricing logic of this specific hostel. A generic property management system would have cost ten times more and used half as much.
Hostel, guesthouse, hotel, serviced apartment — different workflow, same principle. We scope it around your room types, your check-in process, your team.
